Personal Assistant

As a personal assistant to the CEO, you will provide administrative and accounting support, usually on a one-to-one basis. You will help your manager to make the best use of his time by dealing with secretarial and administrative tasks.

The main responsibilities include but not limited to:

1. Administrative and secretarial services

  • Arrange travel, visas and accommodation
  • Screen phone calls, enquiries and requests, and handle them when appropriate;
  • Meet and greet visitors when required;
  • Organize, maintain diaries and make appointments;
  • Organize, attend meetings and ensure the manager is well prepared for meetings;
  • Take notes or dictation at meetings; provide general assistance during presentations;
  • Deal with incoming emails and mails, often corresponding on behalf of your manager;
  • Produce documents, brief papers, reports and presentations;
  • Liaise with clients, suppliers and other staff on the delegated topics.


2. Accounting and finance

  • Monitor the provider payments, expenses, reports in conjunction with accounting
  • Process and prepare financial and business forms for the purpose of checking account balances, facilitating purchases, etc.
  • Perform routine calculations to produce analyses and reports as requested by the manager
  • Help oversee and manage individual accounts
  • Create, send, follow up on invoices and contracts
  • Collect and enter data for various financial spreadsheets
  • Review and audit financial statements and reports, ensure all calculations and data entries are correct
  • Suggest changes or improvements to increase accuracy, efficiency, and cost reductions

  • Being proficient in French speaking is an advantage
